ONLINE BOOKING RULES FOR ROOMS (SERVICES)
USING EXELY BOOKING ENGINE
Effective/Last Updated: 27.09.2024
These Rules have been developed by "HOTEL SALES WIZARD" LLC FE (hereinafter referred to as EXELY), the owner of the EXELY Booking Engine software, and apply to the booking of Rooms (Services) through the EXELY Booking Engine. Any booking of Rooms and additional Services made on a Hotel's website is carried out via the EXELY Booking Engine.
By using the EXELY Booking Engine, you confirm that you have read, understood, and agree to comply with these Rules. If you disagree with any provision of the Rules, you are not authorized to use the EXELY Booking Engine.
These Rules may be amended without prior notice. The amended Rules become effective from the date of publication on the website www.exely.com and within the EXELY Booking Engine. If a User disagrees with the changes to the Rules, they must cease using the EXELY Booking Engine.
The EXELY Booking Engine is a booking service that provides Users with the technical capability to independently book Rooms (Services) at Hotels.
Room (Services) refers to a set of services for temporary accommodation at a property, as well as other services booked by the User through the EXELY Booking Engine.
Hotel refers to accommodations offered for stay, including hotels, resorts, mini-hotels, hotel complexes, etc.
User means you, the person booking a Room (Services) through the EXELY Booking Engine, or the person you represent.
EXELY is not an agent of the selected Hotel or an intermediary between the User and the Hotel. EXELY does not make reservations on behalf of the User at the Hotel.
EXELY does not charge Users any fees for booking Rooms (Services) at Hotels through the EXELY Booking Engine.
BOOKING AGREEMENT
The User and the Hotel enter into an agreement for the preliminary booking of the Room (Services) selected by the User after the payment for the booking is made. Any claims or obligations related to the provided services must be resolved directly between the User and the Hotel. The Hotel where the Room (Services) is booked is the party responsible for fulfilling its obligations to the User under the agreement.
The completed booking can be paid using any available payment method provided by the EXELY Booking Engine unless the Hotel restricts the choice of payment options. If third parties such as agents, technical intermediaries, or account owners involved in receiving payments through the EXELY Booking Engine participate in the booking process, the Hotel remains the party responsible to the User for providing the booked Room (Services) and for any refunds.
The Hotel has the right to offer non-refundable rate plans. Under such rate plans, in the event of cancellation or no-show, the prepayment (partial or full) is non-refundable and retained by the Hotel as a penalty. Users are advised to carefully review the terms of special offers before completing a booking.
The Hotel where the User has booked the Room (Services) and accommodation will issue documents confirming the stay period and the payment method used (such as acquiring or deferred electronic payment).
Rooms (Services) are reserved for the User during the booking process. Confirmation of the booking or preliminary booking (depending on the payment method) is displayed on the screen immediately after the booking is completed.
We recommend Users print the booking confirmation and keep it for their records. The confirmation will also be sent to the email address or phone number provided by the User during the booking process.
The Hotel or EXELY service may contact you via email, phone, SMS, WhatsApp, Viber, or social networks (such as Facebook) for the following purposes:
HOTEL INFORMATION
The international hotel star rating system is designed to assess the quality of hotels. The star rating information displayed in the EXELY Booking Engine is provided by the Hotel. THIS INFORMATION IS NOT VERIFIED BY THE EXELY SERVICE. Hotels independently provide all additional information, descriptions, prices of Rooms (Services), locations, and other data in the EXELY Booking Engine.
EXELY is not responsible for any inaccurate information provided by the Hotel.
ROOM (SERVICE) PRICES
All prices displayed by the EXELY booking service are set by the Hotels and are valid for any type of booking under the conditions determined by the Hotels. Bookings are made at the prices applicable during the intended period of stay. Special offers created by Hotels in the EXELY Booking Engine are automatically factored into the system’s price calculation. The Hotel guarantees that the prices for rooms and services displayed in the EXELY Booking Engine are valid for each booking.
All prices displayed by the Hotel in the EXELY Booking Engine apply to one room/apartment/house for the selected stay period and include (non-taxable) services (only for hotels) specified in the Room (Services) description. In accordance with applicable internal rules and regulations, Hotels are required to set prices that include taxes in the EXELY Booking Engine. However, such prices may not include certain fees imposed by local authorities.
Prices in the EXELY Booking Engine are displayed in the currency used by the Hotel. The booking system allows Users to convert prices to other currencies.
PAYMENT OPTIONS FOR BOOKING
By bank card via EXELY Booking Engine using online acquiring:
In the EXELY Booking Engine, the User selects the "Bank Card" payment option and pays the amount specified by the Hotel in the payment system's secure payment window.
If the User pays only part of the Room (Services) cost during booking, the remaining amount must be paid upon check-in at the Hotel.
"Deferred electronic payment":
The User either provides booking details for the Room (Services) separately in the EXELY Booking Engine or directly to the Hotel without the involvement of EXELY.
Based on the information provided by the User or the Hotel, the EXELY Booking Engine sends the User an automatic email containing the booking details and a payment link. The User follows the link and completes the payment using a bank card. After the payment is successfully made, the EXELY Booking Engine generates a booking confirmation and sends it to the User's email address provided during the booking process.
If the User pays only part of the Room (Services) cost during booking, the remaining amount must be paid upon check-in at the Hotel.
Payment must be made within the timeframe specified by the Hotel during the preliminary booking process. If the User does not make the payment by the specified deadline, the EXELY service will automatically cancel the booking.
"Bank Card Guarantee":
The User enters their bank card details in the appropriate fields within the payment window under the domain name exelypayments.com. This domain belongs to EXELY. The information provided is transmitted to the selected Hotel through secure communication channels via a protected server as a booking guarantee. The Hotel independently decides whether to charge the User’s bank card through its acquiring system. If the Hotel is unable to perform the necessary transactions on the bank card to secure the booking, it has the right to cancel the User’s booking.
The User must ensure that their bank card is valid and has sufficient funds to complete the payment.
"Bank Transfer":
The Hotel may set any prepayment amount and restrictions for bank transfer payments (as a general rule, this payment method is available to Users no more than five days before the check-in date).
Bank transfers can be made by both legal entities and individuals.
Payment must be made within the timeframe specified by the Hotel in the EXELY Booking Engine and the invoice. In case of late payment, the Hotel has the right to cancel the booking at its discretion through the EXELY service.
BOOKING MODIFICATIONS
The EXELY Booking Engine allows Users to modify the following booking details:
check-in/check-out dates
early check-in or late check-out options
editing additional services (for hotels only)
guest contact details
guest comments
room type (for hotels only)
These modifications can only be made within the EXELY Booking Engine by clicking the link provided in the booking confirmation email.
Users are not allowed to make any changes that affect prepayments made through any payment methods offered by the EXELY Booking Engine.
You can cancel your booking in the EXELY Booking Engine and create a new booking with the necessary changes. Before doing so, you must review the Booking Cancellation Policy.
BOOKING CANCELLATION
To avoid confusion, bookings must always be canceled through the EXELY Booking Engine. The EXELY Booking Engine ensures that the Hotel where the booking is being canceled is immediately notified of this action.
Bookings can only be canceled within the EXELY Booking Engine using the link and access code provided in the booking confirmation email sent after the booking is completed. A cancellation notification is sent to the User after the cancellation process is completed.
If the User is unable to cancel the booking as described above, it is recommended to contact the Hotel’s booking department.
If the User made a payment by bank card or used deferred electronic payment, the refund will be processed and credited to the bank card or digital wallet used for the payment within the period specified by the payment service provider. This period usually does not exceed 45 business days from the date of payment made via the EXELY Booking Engine. The time between the refund operation and the actual receipt of funds in the User's account depends on the internal processes of the bank and the payment service provider.
If the "Bank Card Guarantee" payment method was used, the Hotel is responsible for refunding the amount charged to the User's account. In case of booking cancellation, we recommend contacting the Hotel directly to resolve refund-related issues.
In the case of late cancellations or no-shows, the Hotel has the right to charge a penalty fee. Each Hotel sets its own cancellation policy, including deadlines and penalty amounts. When booking a Room (Services), it is important to carefully review the booking terms, special offers, and late cancellation conditions outlined on the Hotel’s website, the Booking Service, and the booking confirmation.
In case of early departure, the Hotel may impose a penalty to compensate for incurred losses.

By accepting these Rules, the User consents to the collection, organization, storage, updating, use, and transfer of their personal data (name, email address, phone number, nationality, and other data provided through the EXELY Booking Engine) to the Hotel and third-party service providers.
